The Medicinary Manager is responsible for the overall operation and administration of the NUNM Health Centers Medicinary and Medicinary-related activities incorporated within other NUNM departments. Responsibility includes oversight of daily operations and assurance of quality customer service, quality product mix, consistent prescription accuracy, budget management, and meeting all health and safety standards.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Leadership & Collaboration

  • Provide Exceptional Leadership: Foster a collaborative and professional environment, emphasizing teamwork and open communication among clinic staff, students, and practitioners.
  • Policy Development: Create, update, and enforce policies and procedures for all Medicinary outlets. Create and maintain accessible detailed procedure manuals.
  • Engage with Clinical Faculty: Partner with clinical faculty to ensure an optimal product mix and clarity in ordering, prescription requirements, and other relevant processes.

Staff Management & Training

  • Supervise Staffing Operations: Oversee the hiring, training, and scheduling of staff ensuring adequate coverage. Assign and direct work efficiently.
  • Conduct Training Programs: Develop and document comprehensive training covering safety, quality assurance, and operational procedures for all staff members.

Support Daily Operations

  • Order, fill and dispense prescribed herbs, supplements and other Medicinary products and review prescriptions issued for accuracy and safety.

Inventory & Quality Management

  • Inventory Oversight: Manage a cost-effective inventory, ensuring product freshness and quality through turnover analysis. Oversee yearly inventory and maintain accurate tracking and data processing.
  • Product Safety & Quality: Ensure all safety and quality procedures are followed, including proper labeling and safety checks for each dispensed product.
  • Maintain Core Inventory: Develop a core inventory tailored to the specific needs of each location, including Community and Satellite Health Centers.

Financial Management

  • Budget & Financial Oversight: Track and review sales, margins, invoices, costs, and inventory data. Make recommendations to improve margins and revenue. In conjunction with supervisor, manage monthly and yearly budgets efficiently.
  • Vendor & Donation Management: Cultivate relationships with vendors and work closely with the Quality Assurance Supervisor and Advancement department to maintain positive vendor and donor relationships.

Quality Assurance & Compliance

  • Quality Management: Develop quality assurance goals, fostering a culture of safety, integrity, and quality. Conduct audits with the Quality Assurance Supervisor to ensure adherence to best practices.
  • Regulatory Compliance: Manage product recalls, adverse event tracking, environmental safety, and adherence to all applicable local, state, and federal regulations, including OSHA and HIPAA requirements.
  • Safety Procedures: Ensure all staff adhere to relevant health, safety, and operational standards. Maintain safe, clean, and efficient Medicinary spaces.

Operations & Technical Oversight

  • EMR & Technical Management: Oversee Medicinary components within the EMR software. Work with the Epic Site Specialist to troubleshoot and resolve Medicinary-related technical issues.
  • Equipment Maintenance: Ensure timely maintenance and calibration of equipment, maintaining a record of all necessary certifications and documentation.

Administrative Duties

  • Documentation & Licensing: Keep registrations, memberships, licenses, and vendor liability insurance up to date.
  • HIPAA & Confidentiality: Maintain strict adherence to patient confidentiality and data security.

General & Additional Duties

  • Customer Service Excellence: Work closely with Medicinary staff and leadership to ensure high-quality service to patients and customers. Implement strategies to enhance customer satisfaction.
  • Flexibility: Adapt to changing circumstances and priorities.
  • Training Participation: Attend supervisor and other recommended training sessions to remain updated on best practices and compliance.

 

EDUCATION/EXPERIENCE

Bachelor’s degree from a four-year college or university required; Minimal two years botanical/herbal and natural medicine experience required; Minimal 1 year of supervisory experience strongly recommended; or equivalent combination of education and experience.  Degree in Chinese Medicine or Doctor of Naturopathic Medicine degree preferred.

  • Experience working with Windows, Excel, HIPAA, and OSHA required. Experience with retail point of sale systems (Square), and electronic medical records (EPIC) preferred.
  • Strong interpersonal communication, organizational and negotiating skills. Ability to interact effectively with vendors, staff, faculty and students required.
