This position will compile and enter data into the billing software to generate patient billing for the University’s health centers, process collections on patient accounts and assist with the administrative duties and tasks.



  • Process data entry and balance all patient insurance information including charges, adjustments, and receipts.
  • Verify patient insurance information and coverage to ensure the health center has accurate, up-to-date patient account information.
  • Manages correspondence regarding patient account issues and maintains and updates patient accounts for billing and collection process.
  • Returns calls and processes requests from patients, doctors, students, staff and insurance companies regarding billing account ledgers, medical records, doctor treatment letters, etc.
  • Claim status follow up for contracted and non-contracted insurance carriers and follows up on notices for denied charges or need of additional information
  • Investigate, work and release all charges from work queues in EPIC.
  • Assist with creating and revising billing forms and policies as needed.
  • Serves as an EPIC “superuser”. Creates JIRAs in the OCHIN system to notify them of any billing problem and sees through to resolution.
  • Works with lab staff to maintain the lab fee schedule and to resolve any problems with lab fees dropping to the patient’s account. Works closely with the EPIC site specialist, private practice doctors, health center manager and health center operations director to maintain the template for the fee schedules for the health center.
  • Review, investigate and initiate refunds
  • Works to resolve month-end discrepancies with the business office.
  • Post all patient and insurance payments and creates deposits for the business office
  • Run and distribute month end reports
  • Post payments and/or reconciles community health center deposits. Delivers deposits to business office.
  • Run reports to determine private practice, complete and send to business office for check distribution
  • Assist with credentialing when needed



Associate’s degree in accounting or business education and five (5) years of medical office and/or billing experience environment; or equivalent combination of education and experience.

Familiarity with billing compliance and claims processing of private insurance such as ODS, Providence, Blue Cross/Blue Shield and state funded insurance such as DMAP is required.



Knowledge of CPT and   ICD 10 coding; strong interpersonal communication skills in person and over the telephone; medical billing software (Epic software preferred), Word and Excel, 10-key by touch, type 40-50 wpm and HIPAA regulations

Ability to act with professional diplomacy and excellent customer service when interacting with doctors, students, staff and patients regarding confidential and sensitive account information and problem resolution.  Experience with confidential financial data of patients and health center and ability to keep information confidential is required.

Requires person to obtain EPIC superuser certification within 6 months.
