POSITION DESCRIPTION

The Senior Registrar provides leadership. vision, and hands-on management for the Office of the Registrar. This position performs or oversees all duties associated with student registration (including enrollment, withdrawals, & maintenance of academic records) as well as scheduling for university classes and clinic shifts.  Plays a key role in university compliance including ED, IPEDs, and VA among others. Must have a strong focus on customer service.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Departmental Oversight

  • Provide short and long-term planning for department.
  • Responsible for developing long-range (6-12 months) scheduling and coordinating academic and clinical schedules (including assigning use of classrooms) in conjunction with program deans and clinic leadership.
  • Ensure efficient, effective, and consistently documented processes and workflows within the Office of the Registrar training staff accordingly.
  • Ensure accuracy in information systems related to student records, registrations, grades, degree and dual degree program completion.
  • Assuring timely and accurate posting of grades and maintaining the confidentiality and security of all records.
  • Track satisfactory academic progress of all students, certifies candidate eligibility for graduation, and grants degrees.
  • Facilitate interpersonal team dynamics in achieving departmental goals and institutional objectives through a quality/customer-service oriented team.
  • Collaborate with administrators, deans, faculty, academic advisors, and IT to facilitate, and improves services to students including, catalog, registration/records policy and questions.
  • Responsible for creating the Academic and Departmental Calendar

Compliance

  • Responsible for responding to internal and external data requests, including state, federal and accreditation and private agency reporting regarding student enrollment or graduation.
  • Develop and implement relevant policies that align with best practice and support academia, administration, students and graduates.
  • Ensure the campus is compliant with the Family Educational Rights and Privacy Act (FERPA)
  • Serve as the Veterans Coordinator & Immigration Coordinator

Fiscal Accountability

  • Provide short and long-term financial planning for the department in conjunction with the strategic plan of the University. Responsible for developing a 3–5-year strategic plan for the department.
  • Develop and oversee the annual departmental budget.

 

SUPERVISORY RESPONSIBILITIES

The scope of responsibility includes supervision of employees, student employees, volunteers and contracts.  Carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities may include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

 

EDUCATION/EXPERIENCE

Bachelor’s degree required from a four-year college or university; Master’s degree preferred and 3 years of management of student records, coordination of academic policies and/or delivery of student services experience (with one year of supervisory experience); or equivalent combination of education and experience.

  • Prior experience in the use of SONIS is preferred. This position is expected to maintain a high degree of technological understanding for all functions performed in the department.
  • Thorough knowledge of FERPA, Student Right to Know Act, transcript conventions and rules with respect to student confidential information. Knowledge of accreditation guidelines and academic policy.
