POSITION DESCRIPTION

The Facilities & Maintenance Coordinator assists in implementing a wide variety of projects which enhance campus physical development and support the University. The Facilities & Maintenance Coordinator will coordinate relationships with outside contractors, agencies, developers and sponsors. This position will coordinate and support maintenance of the University’s facility functions and operations.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Campus Planning Duties:

  • Provide day-by-day oversight and assist in long-term planning for the department.
  • Develop and implement policy and procedures for the department as approved by the supervisor.
  • Support the COO in negotiating contracts and maintaining up to date communications with agents, officials, consultants, technicians, engineers, architects, suppliers, vendors, college staff, city officials, and insurance and industry representatives relating to approved college property development.
  • Facilitate solutions for concerns, issues and communications regarding compliance, contractor relationships, communication and liaison with city and regional planners and compliance officers.
  • Solicit, examine and select in accordance with college approval processes bids from contractors.
  • Maintain the knowledge base of internal and external regulations and laws necessary to assure compliance in all departmental activities.
  • In conjunction with the COO, research and manage daily expenditures of the department’s budget.

Facility Projects Duties:

  • Assist the COO and the President with long term facilities planning for the University.
  • Support the COO in utilization of space and facilities consistent with the college’s requirements for organizational efficiency and available facilities and funds.

Facility Responsibilities:

  • Confer with other departmental managers/supervisors to coordinate activities of specific maintenance needs.
  • Perform maintenance and custodial duties as needed, coordinating with campus custodians.
  • Maintain an efficient work order system, analyze and resolve work problems and order supplies for the department.
  • Ensure the buildings, furniture and fixtures are clean and maintained in good working conditions.
  • Troubleshoot building issues and prepare suggested maintenance improvements for each budget year.
  • Routinely inspect buildings and office areas to evaluate suitability for occupancy, considering such factors as air circulation, lighting, location and size.
  • Direct workers engaged in moving furniture and equipment and prepare facilities for occupancy.
  • Assist with events and special projects as needed.
  • administer maintenance program for the college vehicle.
  • Work with the SGA and address student concerns regarding facilities and safety.

Safety Functions:

  • Assure First Aid kits at all college locations are stocked regularly.
  • Ensure the fire extinguishers and fire alarm systems of all campus buildings are tested yearly in conjunction with the Chief of Security.
  • Work with the Safety Committee to coordinate environmental health and safety programs and assist with providing health and safety equipment as needed.

Operations Functions:

  • Back-up the Security Chief with emergency calls for security services as needed.
  • Oversee and maintain the College transportation program by negotiating annual tri-met prices and processing the transportation survey.
  • Serve the University community as a member of committees as approved by the supervisor and/or President. Duties may include, but are not limited to, chairing or providing leadership to committees as appointed.

 

EDUCATION/EXPERIENCE

High School Diploma (or equivalent) and a minimum of three years’ experience in maintenance and/or construction; or equivalent combination of education and experience.
