POSITION DESCRIPTION
The Referral Coordinator is responsible for managing all aspects of the referral process, including collecting appropriate patient information from referral sources, establishing and maintaining positive relationships with patients, and managing the imaging authorization process.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Processes patient referrals to specialty providers by preparing records and sending appropriate clinical information to both internal and external specialists using Epic referral system.
- Obtains authorizations for advanced radiology procedures through various insurance websites and updates referral notes appropriately with authorization information.
- Accurately enters notes into Epic EHR regarding scheduling, authorizations, referral status, and other notifications. Maintains ongoing tracking and appropriate documentation of referrals by accurately updating referral notes in patient chart.
- Maintains knowledge of approved services from contracted insurance companies, as well as what services require prior authorization.
- Identifies and utilizes cultural and community resources. Establishes and maintains relationships with identified service providers.
- Maintains knowledge of HIPAA regulations and understands how to apply these principles in daily interactions with patients and provider offices.
- Maintains accurate records, tracking the status and receipt of records from completed referrals.
- Provides information and educates patients regarding availability of specialty services. Notifies patients and providers of non-covered and unavailable services.
- Processes incoming referrals from community providers; confirms insurance status, as needed. Updates internal referrals and works with scheduling team to ensure patients are contacted and scheduled in a timely manner.
- Works with providers to facilitate patient enrollment in state and local assistance programs including Screenwise and Project Access NOW. Stays up to date on program changes.

- Employs continuous improvement to consistently optimize operations. Promotes a team approach to delivering quality, cost-effective care to where patient satisfaction is the primary goal
- Reports progress, operational issues, organizational opportunities, and threats to the Director of Health Centers monthly or as needed.
- Works with Director of Health Centers to ensure staff compliance with all referral policies and procedures
- Participates actively in all required clinic meetings, working with staff and faculty to improve referrals process
- Provides back-up support for Medical Records Department via fax management and other document management assistance.
- Performs additional duties and responsibilities as assigned by supervisor.
EDUCATION/EXPERIENCE
- Bachelor’s degree in Health Care field preferred or combination of education and equivalent experience considered
- A minimum of 3-5 years of experience in referral and authorization processing or medical records
- Knowledge of ICD-10 and CPT codes for the purpose of authorizations
- Knowledge of basic medical terminology and procedures
- Medical office experience with referral/authorization processing for OHP/Medicaid
- Experience with Epic strongly preferred
- Ability to write simple professional correspondence
- Basic skills using MS Excel and MS Word
- Ability to handle a high volume of patient flow with comfort and confidence in multiple provider office
- Knowledge of insurance plans and their guidelines preferred

Must be detail oriented, tactful and professional to resolve disputes, multi-task, work well under pressure and have excellent customer service skills. In addition, must be able to decipher handwriting and spot check for chart errors.
Knowledge of Windows applications, photocopier, facsimile, and postage meter. Ability to climb a portable ladder, reach, bend, and squat to file and pull medical records of patients, type 40 words per minute and work in a fast paced, non-structured environment with minimal supervision.
