POSITION DESCRIPTION
The Assistant Registrar plays an important role in ensuring a smooth and student-centered academic experience by assisting with registration processes, student records, and data systems. This position blends technical precision with collaborative service, working closely with academic and clinical leadership to support student success from enrollment through graduation.
ESSENTIAL DUTIES AND RESPONSIBILITIES
General Office
- Maintain accurate student status updates, including leaves of absence, program withdrawals, and changes in curriculum layout.
- Monitor and ensure accuracy of data in Clinic Tracker and other student information systems.
- Conduct degree audits and communicate with students their progress toward graduation, including outstanding academic and clinical requirements.
- Monitors registrar/CORE help desk and responds to tickets or assigns them to appropriate personnel
- Refer appropriate student issues to the Registrar for quick resolution as needed.
- Serves on petitions committee and other administrative committees as needed.
- Assist with the implementing departmental goals and the facilitation of the interpersonal team dynamics in achieving departmental goals and institutional objectives through a quality/customer-service oriented team and department.
- Network internally and externally to achieve objectives of the department.
- Develop and implement policy and procedures for departmental standards and protocol as approved by the supervisor. Maintain the knowledge base of internal and external regulations and laws necessary to assure compliance in all work unit activities.
Registration
- Assist registrar with entering Academic and Clinic Schedule into Campus Cafe and EMS
- Assist with registering students in Campus Cafe each quarter for required courses
- Process forms submitted to registrar’s office and follow up as necessary (i.e. LOA, grade change and add/drop forms).
- Create and distribute “Electives Flyer” each quarter
Record Keeping
- Maintain and review student records for accuracy and timeliness including hours entered into CORE tracking software.
- Communicate registration policies and procedures to students, faculty, and administrative offices.
- Clinic Grade reconciliation in SONIS based upon hours and clinic evaluations in CORE
- Responsible for overseeing the clinical sub database.
- Assist with graduation verification, transcript orders, diplomas, etc., ensuring compliance with FERPA
- Maintain student directories, voicemail inbox lists, and internal communications tools.
- Entering approved student transfer credits in Campus Cafe
EDUCATION/EXPERIENCE
Bachelor’s degree from an accredited four-year college or university. Two (2) years’ experience in higher education administration, preferably registrar’s office and coordination of academic policies and/or delivery of student services experience; or equivalent combination of education and experience. Experience with Student Information Systems, the National Student Clearinghouse, VA education benefits, and SEVIS compliance is preferred.
