POSITION DESCRIPTION
The Academic Support Coordinator & Testing Center Specialist provides administrative and academic support for faculty and the deans, while specifically assisting with the day-to-day operations of the CM Programs. In addition, the role includes responsibility for coordinating testing center appointments, accommodations in the testing center, obtaining materials for exams and distributing tests on campus for all academic programs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Faculty-Related Responsibilities
- Provide administrative support for the NUNM Testing Center, including supervision of students taking exams and distributing completed exams to faculty and teaching assistants. Test Center Administration 5 days every week.
- Implement departmental goals and facilitate interpersonal team dynamics in achieving institutional objectives through a quality/customer-service oriented team.
- Assist faculty with educational needs such as photocopying.
- Additional responsibilities as assigned by the Chief Operating Officer or Dean.
Testing Center Coordination
- Assist in fielding incoming test requests (make sure student has given us all information needed to schedule exam).
- Assist in scheduling test requests for students with accommodations or those with make-up exams.
- Coordinate admin coverage for exams.
- Confirm and apply accommodations to exams.
- Track student test info and monitor completion for annual stats.
- Communicate with instructors to get student test approval and if paper exam, get copy of exam.
Facility/Classroom Support
- Coordinate Academic building maintenance with NUNM Facilities and maintain office.
- Manage upkeep and classroom supply stocking for all lab classrooms.
- Assist in coordinating all program retreats, including planning, logistics, and execution.
Operations Responsibilities
- Assist in coordinating and schedule coverage for clinic shifts.
- Serve as a coordination hub for staff and faculty in conducting the day-to-day business all academic programs with a specific focus on the Chinese Medicine Programs.
- Collect and update faculty CVs at least annually.
- Coordinate or assist with inter-departmental and community events.
- With the Dean, organize and schedule departmental and faculty meetings for the Chinese Medicine program.
- Schedule, attend, and record meeting minutes at faculty and committee meetings, as requested.
- Participate in University committees as assigned.
- Coordinate Academic building maintenance with NUNM Facilities and maintain classroom and office upkeep.
- Complete projects and special assignments for the Dean by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving and adjusting plans.
EDUCATION/EXPERIENCE
- Bachelor’s degree plus at least 1 year experience in an academic setting; or equivalent combination of education and experience.
- Experience working with databases, course management, scheduling and reference management software strongly preferred.
